Job Purpose:

To provide professional, proactive executive level support to the Executives and their teams inclusive of secretarial and administrative service to ensure executives are fully supported in discharging professional, statutory and operational duties.  This role requires the Executive Assistant to work effectively to ensure the delivery meets and wherever possible exceeds expectations.

Key Duties & Responsibilities:

  • Work closely with the Executives to understand key objectives and confidential, strategic priorities at corporate level. 
  • Provide direct assistance to the Executives in the support and discharge of executive duties, exercising judgement and taking decisions under delegated authority and as agreed with the Executive.
  • Provide day to day executive administration support and management of correspondence; emails, letters, production of minutes, reports and presentations relating to the day to day responsibilities of the Executive and their teams.
  • Assist with the preparation of all documents requiring the attention of the Executive.
  • Proactively manage the Executive diary, setting up meetings, maintaining contact databases, arranging complex UK and International travel including flights, hotels, transfers, visas and travel itineraries for and on behalf of the Executive and their teams.
  • Providing back up material to direct reports/employees as appropriate having due regard to the confidentiality surrounding sensitive matters. 
  • Proactively communicate the requirements of the Executive to other areas of the business.
  • Meet and greet visitors and create an excellent first impression as the face of AML.
  • Working in close harmony with other Executive Assistants / PA’s in dealing with corporate support matters, covering during periods of annual leave and sickness. 
  • Identify and implement improvement to work practices and standards to ensure work is carried out by the most effective methods. 

The ideal candidate must be accustomed to fast-paced environments, with daily changes to meeting schedules, travel arrangements etc.  To be able to remain calm under pressure and have the ability to adapt quickly when required.

Qualification & Experience:

  • Recognised Secretarial or Administrative qualifications to HNC/A level/NVQ level 3 or 4 or equivalent is advantageous.
  • Educated to Degree Level is desirable.
  • Experience of working in a similar environment supporting Directors at Board Level is essential.
  • Experience of working in a dynamic and changing environment.
  • Computer literate with advanced knowledge and use of Microsoft Office Applications, including Word, Excel, Powerpoint.
  • Other IT application awareness.
  • Advanced knowledge of Time and Diary management.
  • Excellent planning and organisational skills.
  • Advanced interpersonal and communication skills with the ability to communicate with people at all levels internally and externally to the company.
  • Good problem solving skills and number reasoning.
  • Professional Manner.
  • The post holder must be honest and demonstrable integrity and confidentiality.
  • A self-motivated and reliable individual with flexibility and sensitivity.
